Tips and Tricks for EHR Software Implementation
Implementation of any product, service, or system can come with its fair share of challenges. But normally when you’re implementing something new into your business, it leads to more efficient workplace practices. These implementations shouldn’t be looked at as something else to learn, but something that once you learn, will make your job easier and lead to more satisfied consumers.
This idea is especially relevant when it comes to the implementation of an EHR software system in a medical practice. Rightly so, medical practices have such a constant focus on maintaining the optimal level of patient care that they may struggle to take the time to properly train their staff to use the new system.
Having a plan to implement your EHR software system can undoubtedly help you maintain your same standards of patient care, while properly educating and training your staff.
But what goes into a successful EHR software implementation plan? Well that’s a great question – I’m glad you asked. Let’s dive in!
- Understand all set up and implementation details: There are several considerations to look into when managing the software implementations. Luckily, most of this information should be pieces you most likely already now. For instance, will the software be server-based, our cloud-based?Data uploading is another piece of the implementation. Knowing the process in which a vendor uploads existing data into your new software system will be very important to understand. It is obviously one of the most important parts of implementation, so having an understanding of how long it will take will be very useful.
- Take your time: Resist the urge to speed through the implementation process. Just remember, the more time you take to thoroughly understand and go through all facets of implementation, the less headaches you and your team will have down the road. You will be thankful that you took the extra few hours each day to effectively implement your software system, instead of cutting corners to push through the cycle a bit faster. Trust us!
- Train EVERYONE: This step depends on the size of your workforce. If you have the means to train your entire team, DO IT! It is always beneficial to have your entire team well informed on the processes and system in place. If your practice is rather large, then be sure you have a decent number of individuals trained on the system. You never know when an employee will transition to a different role in a practice – maybe that new role will require more of a working knowledge of the software system. If that’s the case, you will have saved time.
- Have a plan in place for new employee training: This is often overlooked as a vital piece of software implementation. It is one thing to educate and train your current employees, but there is obviously employee turnover that inevitably occurs in any business. Having a solid plan to properly train new hires that are not experienced in using the system will help limit any headaches you may have down the line.
